Terms and Conditions
Who can become a member of the Jaguar Photographic Society (JPS)
Membership of the JPS is available to any person wishing to join the society. The JPS distinguishes the following classes of membership:
- Prospective member; if you are interested in joining the society you are welcome to attend three meetings as a guest of the JPS after which you are requested to become an ordinary member.
Ordinary member: Upon registering with the JPS host venue and payment of the annual membership fees you will become an ordinary (paid-up) member of the JPS. In order to attend JPS meetings you need to pay the current weekly meeting fee. Ordinary members have the right to take part in club competitions and can vote during club meetings.
- Junior member: if you are under the age of 18 you may join the JPS but you must be accompanied by a guardian over the age of 18 when attending club activities. Upon reaching the age of 18, you will automatically become an ordinary member upon payment of the necessary fees.
- Honorary member: Members who have been recognised by the JPS committee for their exceptional service to the society.
How can I terminate my membership?
You can terminate your membership of the society at any time by writing to the committee via e-mail on email@example.com or by post to JPS, 12 Kinlet Close, Coventry CV6 3LS. No refund of annual fees can be given upon termination during the season.
Can the JPS terminate my membership?
If you don't renew your membership fees you will stop being a member of the JPS. We prefer it though if you tell us of your intention to leave.
If any member behaves in a manner that contravenes the constitution of the JPS or affects the society or its members in an adverse or injurious manner, they can be suspended from membership following the procedure as detailed in the JPS constitution.
Photographs you submit to the club.
JPS is dedicated to protecting members’ privacy and understands that you may be concerned about what happens to the information which you provide when joining. This Privacy Statement is intended to explain how the personal data, which you provide through membership, is used and to demonstrate our commitment to privacy and protecting your information. By accepting membership of JPS you consent to the use of your data as outlined in this privacy statement.
What information do we collect from you?
We collect the information that you provide to us when you join the JPS. This information may be supplemented by information which you provide when taking part in special club events or when submitting work for competitions or
exhibitions. We will update the information we hold when you provide us with changes to your personal data and we urge you to ensure that your data is up to date. We may also add to this information which is available to the general public, eg through your website or Facebook Page.
How is your personal data used?
JPS uses your personal data:
- To administer memberships
- To distribute the JPS newsletter
- To communicate with you about JPS activities
- To promote events, opportunities and other activities, which we feel may be relevant to you.
To whom will we provide your data?
JPS will provide your name and contact details to the hosting venue for our club meetings, exclusively to comply with their obligations under health and safety regulations.
JPS will further provide your contact details to those within the organization who need it:
To process membership records;
To manage competitions and or exhibitions; or
To send out correspondence supporting JPS activities.
We may provide elements of your data, as required to carry out particular tasks, to third parties, who may from time to time be contracted to manage the above processes. This may include, for example, email management systems (Mailchimp is currently used for our online newsletters).
We will not pass your contact details to any third party for their direct marketing purposes.
How can I find out what information JPS holds about me?
If at any time you wish to know what information we hold about you, please write to the committee via e-mail on firstname.lastname@example.org or by post to JPS, 12 Kinlet Close, Coventry CV6 3LS. If necessary, you can ask us to
rectify or complete any inaccurate or incomplete personal information which we hold about you.
What happens to my data when I leave the JPS?
The JPS will from time to time remove personal data of ex members from the data base. If you would like to be assured that your data are removed immediately when you leave, please contact the committee via e-mail on
email@example.com or by post to JPS, 12 Kinlet Close, Coventry CV6 3LS.
What if there are changes to these Terms and Conditions?
Occasionally, we may need to update our Terms and Conditions and Privacy Statement. We reserve the right to amend, update or replace this Statement at any time. Any changes will be published, so please make sure you check this page from time to time on the website. Your continued membership and use of membership services will constitute your acceptance of any such changes we may make.
